Schools Program Terms and Conditions

Enrolment:

Enrolment is an agreement to participate in the “Schools Program” as facilitated by the Central Coast Conservatorium of Music, in your school and during the four school terms of the calendar year.

An enrolment becomes valid, and lessons can commence, when the completed Online School Program Enrolment Form has been submitted.

Enrolment is a commitment to attend lessons and/or band rehearsals each week and students will be billed accordingly. Enrolments will automatically roll over from one term to the next unless the Conservatorium administration is notified in writing via email that an enrolment is to be canceled.

Term Fees and Payment:

An invoice for enrolled students will be issued in advance of the first lesson of each term and will be emailed to the primary account holder.

We offer the following payment options:
1. Tuition fees to be paid in full within two weeks of the invoice being issued, or
2. A direct debit payment facility, offered by Payleadr, must be in place within two weeks of the invoice being issued. The facility repayments will ensure that the fees will be paid in full by week 8 of term.  Please contact administration on 02 4324 7477 for details.
3. Fees mot paid by end of Week 8 of term will incur a late fee of $5.

Students enrollment will be affected if neither of the two payment options are satisifed within two weeks of the invoice being issued.

Missed Lessons:

It is expected that students enrolled with the Conservatorium’s Schools Program will commit to attending the full term’s lessons. Lesson fees are payable regardless of attendance and failure to attend a lesson and/or a band rehearsal does not warrant a credit or a refund.

The Conservatorium guarantees to deliver a minimum average of 8 weeks of lessons per term throughout the calendar year. Where the 8 week minimum is not met due to the Conservatorium not being able to provide a music teacher for a scheduled lesson, students will be offered a “make-up” lesson in the first instance or where this is not possible, a credit or refund will be provided.

In exceptional circumstances (e.g. serious illness or injury), a leave of absence may be arranged and if approved term fees may be suspended. Notification needs to be given to the Conservatorium in writing prior to the leave of absence or normal fees will still be applicable regardless of attendance.

Withdrawal From the Program:

Notification of intention to withdraw from the program must be made in writing to the Conservatorium’s administration office or to the Schools Program Administrator .

Term 1 Discontinuation Policy:

A leniency period of two weeks (covering Weeks 1 and 2 of Term 1) is provided. During this period,  if a student discontinues their enrollment in any band or tutorial, their invoice will be fully voided. However, if discontinuation occurs from Week 3 onwards, the full term fee will be applicable. Please note that this policy excludes instrument hire, which is addressed seperately below.

Terms 2, 3 and 4 Discontinuation Policy:

A one-week leniency period is offered in terms 2, 3 and 4. As most students will have participated in the program in the previous term, they are expected to make their decision regarding continuation within the first week of the term. If discontinuation occurs during this period, the invoice for both band and tutorial fees will be voided. Discontinuations from Week 2 onwards will incur the full term fee. Instrument hire is not included in this policy and follows the guidelines outlined below.

The Conservatorium reserves the right to discontinue a student’s enrolment at any time for reasons including, but not limited to: poor attendance, non-payment of fees, lack of interest, or disruptive behaviour. If a student is discontinued from the program for non-payment of fees, the student may be allowed to continue once all fees are paid.

Instrument Hire:

Where an instrument is being hired from the Conservatorium it is the responsibility of the hirer to ensure the instrument is looked after and returned in the same condition as it was received. Accidental or intentional damage to the instrument or a return of the instrument with parts missing, will result in the hirer paying for repair and/or replacement costs in addition to the standard hire fees.

Where an instrument requires repair or servicing due to normal use and is deemed not to be the fault of the student, the instrument must be returned to the Conservatorium for management of these repairs and a replacement instrument will be made available.

Hired instruments are not to be taken to any independent repairer without prior written approval by the Conservatorium. Where an instrument is taken to a repairer without this approval, all associated costs for the repair or service will be the responsibility of the hirer. Upon discontinuation from the Schools Program, any rented instrument must be promptly returned to the Conservatorium. This can be directly to the administration office at 45 Mann Street or to Conservatorium staff at the students school. Please note that instruments should NOT be returned to the schools administration or teachers.

Instrument return policy:

  • If a student discontinues and returns the hired instrument within the first two weeks of the term, the hire fee will be voided.
  • For discontinuation after the first two weeks, the hire fee will be pro-rated based on the number of weeks the instrument was retained during the term.
  • If the instrument is not returned until the final week of the term or later, the full hire fee will be required.

How to Make Payments:

The fee payment methods are as follows:

  • Use the Pay Now link on your term invoice.
  • Direct deposit to the Conservatorium’s bank account: A/C name: Central Coast Conservatorium Inc. BSB: 633 000 (Bendigo Bank) A/C number: 220 329 957.
    Please ensure to use the invoice number/s and your family name (surname) as the payment reference so that we can apply the payment against your account promptly.
  • Credit card payment by phoning on (02) 4324 7477 during office hours (Mon – Fri 9.00am to 5.00pm).
  • Complete a PayLeadr direct debit application provided by the Conservatorium.

Child Protection:

All Conservatorium teachers and administration staff have completed a NSW Working with Children Check as per the requirements of the NSW Office of the Children’s Guardian. All staff also complete annual Child Protection Awareness Training.

The Conservatorium reserves the right to alter, decline or cancel any of its courses or programs or to change the music teacher for any tuition at any time. Use of Conservatorium services implies agreement to these Terms and Conditions.
