The Central Coast Conservatorium of Music Ltd (CCCM) is the principal provider of music education on the NSW Central Coast. Based in one of the fastest-growing regions of New South Wales, CCCM delivers more than 400 hours of music tuition per week to close to 1,000 students of all ages.

Located in the CBD of Gosford in a recently refurbished historic building overlooking Brisbane Water we are funded by lesson fees, sponsorship, and donations, with additional funding from the NSW Government.

We have more than 50 teachers on staff who deliver private and group lessons to our students with ensembles that feed the regional symphony, choirs and bands.  Our alumni have gone on to national and international careers.

Arts Administrator / Customer Service Officer

The Central Coast Conservatorium of Music (CCCoM) is a leader in music education and performance, supporting students from their first musical experiences through to professional practice. We are seeking an Arts Administrator / Customer Service Officer to join our Customer Service and Administration team. In this collaborative, front-facing role, you will support our students, families, teachers and supporters while contributing to the smooth operation of the Conservatorium.

About the Role

This is a people-facing, purpose-led role at the heart of our music education community. You’ll support our on-campus and schools-based programs, working closely with the Administration, Teaching and Management teams to deliver a warm, professional and responsive experience for students, families and partners.

Balancing customer service, administration and hospitality, you’ll be a key first point of contact responding to enquiries, guiding families toward the right programs, and supporting enrolments and retention in a way that reflects our values. You’ll help programs run smoothly while ensuring everyone feels welcomed, informed and supported from first enquiry through to ongoing participation.

This role suits someone who enjoys connecting with people, believes in the power of arts education, and is confident having enrolment, growth and invoice conversations including respectful follow up of overdue accounts and payment reminders in a thoughtful way, always maintaining professionalism and empathy.

Employment Details

  • Type: Casual (initially), approx. 25 hours per week
  • Review: Initial casual engagement, with a review after 3 months to assess role fit and future arrangements.
  • Hours: Monday-Friday, 1:30pm–6:30pm (flexibility by agreement).  Potential for occasional Saturday or extra events work by agreement.

  • Reports to: Chief Operations Officer, Artistic Director & CEO

What You’ll Do 

Front of House & Customer Experience

  • Act as a welcoming first point of contact for students, families and visitors
  • Take responsibility for daily Front of House presentation, ensuring teaching rooms and shared spaces are tidy, prepared and welcoming
  • Prepare rooms for lessons, including tidying, resetting, heating or air conditioning as required
  • Monitor shared amenities and liaise with management to address facilities issues promptly
  • Help create a calm, professional and welcoming environment for all

Student and Family Support

  • Manage student enrolments from enquiry through to timetabling and invoicing
  • Maintain accurate student records, including attendance and financial information
  • Support invoicing, payment plans and ethical, respectful payment reminders
  • Respond to enquiries with warmth, clarity and professionalism
  • Refer complaints in line with Conservatorium procedures

Teacher and Program Support

  •   Assist teachers to deliver high-quality outcomes for their students
  •   Prepare and check class rolls to ensure accurate enrolment and invoicing
  •   Order sheet music and maintain accurate inventory, with an understanding of copyright requirements

Administration, Systems and Events

  •   Assist with room scheduling, payment reconciliation and banking
  •   Support communications via phone, email and the Conservatorium’s database systems
  •   Maintain accurate data, ensure data integrity, and prepare weekly reports for the Finance and Operations teams
  •   Assist with Front of House duties at performances and events, including ticketing and reconciliation, as required outside standard hours
  •   Participate in Administration team meetings and support a positive team culture
  •   Maintain confidentiality and comply with WHS requirements

Essential Criteria

  •   Excellent written and verbal communication skills
  •   Strong attention to detail and administration capability
  •   Minimum five year’s experience in a customer service and administration role
  •   Excellent time management and organisational skills in a busy environment
  •   Confidence using multiple computer platforms, including Microsoft Office and Google Workspace
  •   Proficiency in using Customer Relationship Management (CRM) or database systems (e.g. Music Monitor), including data management and reporting
  •   High level of professionalism, reliability and accountability
  •   Ability to work effectively as part of a team
  •   A commitment to positive team culture
  •   Flexible, adaptable and solution-focused approach
  •   Working With Children Check and First Aid Certificate (or willingness to obtain)
